Position Overview
Heimdall Power is on the hunt for a resourceful, detail-obsessed, hyper-organized powerhouse who thrives on making things run smoothly and efficiently. You’re the person people turn to when something absolutely must get done right—and fast.
You love systems, but you're not ruled by them. You take pride in anticipating needs before they arise, spotting gaps others miss, and setting high standards for everything from office snacks to boardroom briefings.
This role is equal parts operations, executive support, culture keeper, event planner, and part-time magician. If you’ve ever color-coded a Google Calendar just for fun, we should talk.
Key Responsibilities
Office Management
- Keep our office in Charlotte’s Southend organized, well-stocked, and set up for serious productivity.
- Liaise with vendors, building management, and maintenance crews; proactively maintain inventory of office supplies and IT assets.
People & Culture
- Help us build and maintain a workplace people love and a culture that fosters growth, connection, and success.
- Establish and manage a U.S. HR program based on Heimdall Power’s global systems and best practices.
- Co-lead and support U.S.-based hiring efforts, onboarding, offboarding, and internal communications.
- Maintain and secure employee records.
Event Management
- Own end-to-end logistics for trade shows, industry events, and Heimdall-hosted gatherings.
- Manage event-related contract negotiations and management.
- Develop event-specific budgets and ensure adherence.
- Support event-related travel, logistics, and preparations for remote and Charlotte-based team members.
- Keep event initiatives and teams on-track, on-time, and on-budget.
- Support post-event assessments and reporting functions.
Executive & Team Support
- Be the go-to for senior leadership support, from scheduling to special projects.
- Prepare polished presentations, reports, and correspondence.
- Coordinate travel, meetings, and schedules for small leadership team across global time zones.
- Prioritize and reprioritize a shifting list of high-impact to-dos.
Sales Support
- Serve as the go-to HubSpot expert for U.S. sales operations; Utilize the tool to generate reports, interpret sales activities, and identify opportunities to move leads through the sales pipeline.
- Provide as-needed support to the sales team with activities that could include making initial contact or following-up with leads.
Financial Administration
- Review, approve, and work with team members to correct expense reports for payment.
- Coordinate with and support our global finance team and external accountant(s) to manage U.S.-based invoices and expenses.
Qualifications
- 5+ years in a multifaceted, fast-paced role—operations, executive support, project management, or all of the above
- Exceptional organizational chops: You love a good system (and building new ones)
- Familiarity with HR basics and bookkeeping principles
- Proficiency with Microsoft Office, Google Workspace, and accounting tools (QuickBooks a bonus).
- Familiarity with HubSpot and a willingness to build proficiency with the tool
- Ability to think critically, communicate clearly, and act decisively
- Discretion, integrity, and a proactive mindset are non-negotiable
- Experience in energy and/or public sector a bonus
