THE POSITION:
Heimdall Power is on the hunt for a hands-on, technically minded problem solver who thrives in dynamic environments where precision, productivity, and proactivity matter. You’re energized by complex systems, quick to master new technology, and passionate about keeping operations running seamlessly—both in the office and in the field. You bring a metrics-driven, customer-focused mindset, and a proven track record of driving performance improvements, standardizing workflows, and ensuring exceptional client satisfaction.
You’ll play a key role supporting our North American marketing, sales, and operations teams, bridging technical execution with organizational excellence. From managing customer invoicing to ensuring data accuracy in our CRM systems, you’ll serve as the operational backbone of our fast-growing energy technology company, helping accelerate the global transition to green energy.
RESPONSIBILITIES:
Marketing & Sales Support
- Define, document, and refine Heimdall Power’s sales process—from lead identification through contract close.
- In coordination with marketing, flawlessly generate high-quality, customer-facing materials, such as:
- Progress reports, project updates, and technical summaries
- How-to documents, including detailed run-of-show guides
- Case studies and data-driven insights
- Multi-media marketing materials, such as videos, brochures, one-pagers, merch, and display assets
- Interpret data and help identify opportunities to improve customer engagement and drive customer value.
- Collaborate with the global engineering and product teams to support sales, deployment, data integration, troubleshooting, and ongoing customer experience activities.
- Own the end-to-end operations of Heimdall Power’s HubSpot CRM:
- Maintain accurate data entry, system hygiene, and reporting consistency
- Manage HubSpot functionality and training to support and reinforce system adoption
- Deliver weekly/monthly reports on pipeline health, win/loss trends, and revenue forecasting
- Track progress against revenue goals, highlighting risks and opportunities
Event & Logistics Management
- Plan and execute end-to-end logistics for technical demonstrations, trade shows, and customer visits (approximately 10-20 per year).
- Manage vendor relationships and coordinate all technical shipping, setup, and teardown requirements.
- Own event-related contract negotiations and management.
- Ensure all event initiatives are delivered on time, on budget, and to the highest standard of quality and professionalism.
- Conduct post-event evaluations and reporting to assess performance, capture learnings, and inform future improvements.
Office Management & Financial Administration
- Review, approve, and collaborate with team members to finalize expense reports for timely payment.
- Coordinate with and support our global finance team and external accountants to manage all U.S.-based invoices and expenses.
- Liaise with vendors, building management, and maintenance teams; proactively maintain inventory of office supplies and IT assets.
- Keep our office in Charlotte Southend office as a clean, organized, well-stocked, and highly productive workspace
QUALIFICATIONS:
- Bachelor’s degree (or equivalent professional experience)
- 3–5+ years of experience in project coordination or project management.
- Experience in the energy or power grid sector, technology industry, and/or in a professional service environment (e.g. PR/ marketing agency, engineering, architecture, or management consulting firm) is strongly preferred.
- Strong technical aptitude with confidence navigating hardware, software, and data systems
- Excellent organizational skills with the ability to manage multiple high-priority projects and deadlines simultaneously
- Expertise in Microsoft Office (Outlook, PowerPoint, Excel), Google Workspace, Canva, and Hubspot is required
- Self-starter with excellent communication skills, high integrity, and a proactive solutions-oriented mindset
